Hiring help usually means six weeks of explaining. What a no-show policy is for. Why you cannot forward that email. What to say to someone in crisis who has messaged your business account at midnight. Most practices give up somewhere in week three and go back to doing it themselves.

Where we start

A paid audit before anything changes hands

You do not hand a stranger your inbox on day one, and I do not want to guess at what your practice needs before I have seen it work.

No logins change hands. It takes a few days. You keep the document whether or not you ever hire me for anything else.

What the audit covers

  • How inquiries arrive, and what happens to each one
  • Where a prospective client waits, and for how long
  • Which of your forms, emails, and policies are doing work and which are decoration
  • What can be handed over safely, and what has to stay with you
  • What I would do first, and what I would leave alone

Inbox and intake

  • First response to inquiry email, within your own tone and boundaries
  • Screening questions and routing, so the calls that reach you are the right ones
  • Waitlist tracking and follow up
  • Referrals out, handled warmly when you are full

Calendar and clients

  • Scheduling, rescheduling, and reminder sequences
  • No-show and cancellation follow up
  • Session prep packets and intake paperwork sent ahead of first appointments
  • Post-session resource sending, where you have prepared the resources

Documents and systems

  • Intake forms, consent documents, and policy pages written in plain language
  • Notion or practice management setup so the same task is not rebuilt every month
  • Standard operating procedures for the things you currently keep in your head
  • Templates for the email you rewrite every week

The recurring small things

  • Invoices, receipts, and payment follow up
  • Directory profiles kept current
  • Review requests, sent at the right moment
  • Research and admin errands that do not need your license

Money conversations, kept out of the room

Out of network questions, sliding scale, missing payments. These are the conversations that follow a client into session and sit in the middle of the work.

Handing them to someone outside the therapeutic relationship is not just an administrative convenience, but a decision that keeps your load lighter.

What I do not do

I do not write clinical notes, and I do not touch anything that requires your license or your clinical judgment about a specific client. I do not give your clients advice. If something reaches me that needs you, it reaches you the same day.

I also do not take on work I cannot do well. If what you need is a bookkeeper or a billing specialist, I will tell you that before we start.

How this works

You get the scope in writing before you pay. It says what I am delivering and by when, and it says plainly what I do not control. Two rounds of revision are included. If something is missing or does not match the scope, I fix it at no charge and it does not count as a round.

Writing starts with one page, not a retainer. Practice support starts with an audit of your practice's processes.

Ongoing work runs month to month after the first two. Either of us can stop at the end of any month, no notice period and no exit fee.

I reply within one business day, Monday to Friday.
